Privacy & Data processing Policy

Last Updated: January 29, 2026

At Field Literacy Lab (FLL), we operate a dual-environment ecosystem: our Public Information Portal and our Restricted Learning Management System (LMS) & Digital Archive. This policy governs both environments in strict accordance with the Indian Digital Personal Data Protection Act (DPDPA) 2023 and global educational data standards.

1. The Dual Environment Data Architecture

By using our services, you acknowledge the two distinct ways we process data:

  • The Public Information (fieldliteracy.in Website): Publicly accessible. We collect minimal data via cookies to optimize your browsing experience and manage inquiries.
  • The LMS & Archive: Access-controlled. We collect detailed Notional Hour and engagement data required to verify academic credit eligibility.
2. Information We Collect
A. Public Portal Data
  • Contact information provided via inquiry forms.
  • Standard web analytics (IP address, browser type, and referral source).
B. LMS & Archive Data (Protected Data)

To fulfil our mandate as a Co-curricular Partner, we collect:

  • Authentication Data: Unique login credentials linked to your Institutional ID.
  • Notional Hour Logs: Timestamped records of time spent within the Digital Archive, video modules, and field-prep exercises.
  • Engagement Metadata: Data on interaction with specific ethnographic films (e.g., play rates, completion status) to verify “Deep Immersion” requirements.
  • FVAR Submissions: The reports, field notes, and audits you upload as part of your Phase 3 reporting.
3. Lawful Basis for Processing

We process LMS data under the basis of Contractual Necessity and Legitimate Interest:

  1. Credit Verification: We must track your time and engagement to certify your fieldwork hours to your parent University/Institution.
  2. Institutional Reporting: We provide your Institution with progress reports to ensure NCrF compliance.
  3. Archive Security: We monitor access patterns to protect our 25-year proprietary ethnographic archive from unauthorized distribution or screen-recording.
4. Cookies & Tracking Technologies

We utilize a tiered cookie system:

  • Essential Cookies: Required for LMS session persistence (keeping you logged in) and security. These cannot be disabled.
  • Analytical Cookies (Public Information Portal Only): Used to improve our site’s reach. These are optional.
  • LMS Performance Trackers: Used to ensure high-fidelity video streaming of our Archive films.
5. Data Sharing & Transparency
  • No Third-Party Sales: We never sell or trade your learning data to advertisers.
  • Institutional Access: Your parent Institution (University/College) has access to your progress logs for the purpose of academic credit allocation.
  • Statutory Compliance: Data may be shared with the University Grants Commission (UGC) or NCrF auditors if requested during institutional audits.
6. Intellectual Property & Privacy in the Field
  • Digital Archive: All films in the “Rear Door” are the property of FLL. Unauthorized capture of this content is a violation of both these terms and individual stakeholder privacy.
  • Field Data: Data collected by students during Phase 2 (Fieldwork Immersion) must follow the FLL Ethics Code, ensuring the privacy of local community stakeholders is maintained in all FVAR reports.
7. Data Retention & The "Right to be Forgotten"
  • Academic Records: We retain credit-related logs for a period of [e.g., 5 years] or as mandated by your University’s record-keeping policy.
  • Erasure: Users may request the deletion of their personal accounts; however, this will result in the immediate loss of verified Notional Hour logs which may impact credit transfers.
8. Data Security & Sovereignty

In compliance with Indian law, all Personal Data and Learning Logs are stored on secure servers located within the territory of India. We utilize 256-bit encryption and strict access controls to prevent data breaches.
